How much does custom AI software cost in Australia?
Based on what we charge and what we see across the market: a custom AI-powered platform built for an Australian business typically costs between $35,000 and $75,000 AUD and takes 10 to 16 weeks, while integrating AI into your existing operations, connecting the systems you already have and automating the workflows between them, typically runs between $8,000 and $25,000 AUD over 4 to 8 weeks. In this article I want to explain what drives a project toward one end of those ranges or the other, and how to work out whether the investment stacks up for your business.
Why the quoted ranges across the market are so confusing
If you have researched this question already, you will have found numbers everywhere from $3,000 to $500,000, which is about as useful as being told a vehicle costs somewhere between a skateboard and a super yacht. The reason for the spread is that "custom AI software" covers genuinely different categories of work. A chatbot trained on your website content is a small project. A platform that reads incoming documents, makes decisions about them, updates your systems and hands exceptions to a human is a medium one. A custom-trained machine learning model for a specialised industrial application is a large one. Most of the confusing quotes you will find online are describing different categories without saying so.
For the kind of work most established small and mid-sized businesses actually need, which is automating the operational workflows that currently consume staff time, the realistic range in Australia right now is roughly $8,000 at the simple end to $75,000 or more for a full platform. That is the range the rest of this article is about.
What pushes a project toward the top or bottom of the range
Three things matter far more than anything else. The first is how many systems the AI needs to connect to, because every additional system, your job management tool, your accounting software, your CRM, adds integration work, and older or more unusual software adds more than newer, well-documented platforms. The second is how much judgment the AI needs to exercise. Moving data from a form into a database is simple. Reading an architectural drawing, interpreting it, and populating forty fields with confidence scores is not, and the difference shows up in the price. The third is the state of your existing processes. Not your data, which matters less than most people think, but whether anyone in your business can actually describe how the process works today, including the exceptions. Projects where the process lives entirely in one person's head take longer to scope, and scoping time is real cost.
What the return actually looks like
The only sensible way to evaluate any of these numbers is against what the problem is currently costing you. One of our clients, a building compliance consultancy, was spending 90 minutes of manual data entry per job across 15 jobs a day. We built a platform that reads the building plans and pre-populates their job system, taking each job from 90 minutes to 3 minutes. The build cost $75,000, at the top of our range, and the forecast bottom-line improvement in the first year was $750,000. A 10x return, calculated conservatively from their own numbers.
That ratio is unusual, but the shape of the calculation is not. If a process is consuming two hours of someone's day at a fully loaded cost of $45 an hour, that is around $22,000 a year, every year, for as long as you leave it in place. Against that recurring cost, a one-off build in the $8,000 to $25,000 range pays for itself quickly, which is why the most useful first step is not getting quotes but working out what your current manual processes actually cost. What ongoing costs to expect
Custom AI software has two ongoing costs worth budgeting for properly. The first is AI usage itself, since the models that power these systems are metered, like electricity. For a typical workflow automation processing hundreds of documents a month, this usually lands in the tens to low hundreds of dollars per month, and it is calculable in advance rather than a surprise. The second is maintenance and refinement, because your business rules change and the system should change with them. A reasonable budget across the market is 15 to 20 percent of the build cost annually, though for smaller focused builds it is often less.

Is it cheaper to use offshore developers? The hourly rates are lower, but for AI work specifically, where the value is in understanding your operations rather than writing the most code, the total cost difference is usually smaller than the rate difference suggests, and the rework risk is higher.
Can I start smaller than $8,000? Sometimes. If the goal is to test whether AI can handle one specific task before committing to a build, a scoped discovery engagement is the right first step.
